Booking Conditions

These booking conditions govern all bookings made with icelandosyssey.is (.com). Any booking made or order placed by a customer, whether through the company’s website or otherwise, shall be deemed as an offer by the customer to purchase the relevant tour package or other travel arrangement subject to these booking conditions.

No contract between the customer and ​Iceland Odyssey ehf shall come into existence until ​Iceland Odyssey ehf receives full payment and issues a confirmation invoice. The customer making the booking accepts these conditions on behalf of all members of their travel party and is responsible for payment due from the party in entirety.
By submitting a booking, you confirm to us that you comply with this agreement.

Tour departure / Pick-up / drop-off service

All booked tours starts at your selected pickup at the departure time given on your voucher. It is the passenger's responsibility to be ready in time for pickup and departure time written on their voucher.  In meeting points other than airports the driver will wait a maximum of 15 minutes for your group to arrive.  

Airport pickup

Once your plane has landed, your private driver will wait a maximum of 70 minutes at the meeting point indicated on your Booking Voucher. If you feel that your group may take longer than 70 minutes to arrive at the meeting point(due to passport control, customs, baggage claim, lost baggage, etc.) please send someone from your group to the meeting point to inform the driver of any delays. Should the driver be required to wait past 70 minutes, this will be subject to availability and your transfer may be subject to an additional charge. If the driver has not been advised of any delays and no member of your group has arrived at the meeting point 70 minutes after the arrival of your flight, the service will be cancelled and payment forfeited.  

Liability

Iceland Odyssey ehf reserves the right to alter routes, itineraries or timetables should the necessity arise, including irregularities due to adverse weather or road conditions. No responsibility is taken for losses or expenses due to delay or changes of flights, injury, damaged, negligence, weather, war or other unforeseeable causes. The estimated duration of tours as indicated on our website are standard times and can vary according to road or weather conditions and delays may occur for unforeseen reasons. All such losses and expenses are the personal liability of the traveler.  

Cancellation Policy

Iceland Odyssey ehf receives the rights to keep 5% of the total booking amount after a booking has been made. This will cover the transaction and booking fees for the booking. Otherwise, cancellation fees are based upon date and time of the booking. Please find the cancellation deadline as follows: ·        

Cancellations made prior to 48 hours of departure are refunded 95% ·        

Cancellations made between 48-24 hours prior to departure are refunded 50%. This includes bookings made less than 48 hours to departure. ·        

Cancellations made less than 24 hours prior to departure are not refunded. This includes bookings made less than 24 hours prior to departure. ·       

 “No shows” will not be refunded, neither do we refund if the client is late. ·        Iceland Odyssey ehf reserves the right to cancel your tour without notice, with your safety in mind. The tours cancelled due to safety reasons or force majeure in short notice will be refunded 100% ·       

NOTE ! Add on tour activities provided by third party service provider(snowmobile, atv, Blue Lagoon, diving, snorkeling, et cetera) have different cancellation policy. So please check with us. ​

Special terms for Northern lights tours:

The northern lights are a natural phenomenon and sightings cannot be guaranteed even if the tour is operated. We decide after 17:00 every day if conditions are favourable to operate the tour.  We will contact you by phone or email if we will go ahead with the tour, but you can also call us on the day you are booked.  If you book a Northern Lights Tour, but conditions do not allow us to run the tour during your stay, you will receive a 100% refund.

Payment

Iceland Odyssey’s payment processor is RAPYD. They can be contacted via phone +354-558-8000 or e-mail hallo@rapyd.net. Iceland Odyssey ehf accept the following credit cards via Rapyd: Mastercard, Maestro, Visa, Visa Electron, UnionPay, JCB, Diners, Discover and American Express .All prices are in Icelandic krona (ISK) and include 11% VAT. Accepted credit cards personal information associated with credit cards might pass our system as per our agreement with the payment processor. However, Iceland Odyssey will never disclose any personal information, associated with credit cards, to third parties. 

Legal

ICELAND ODYSSEY is registered in Iceland as Iceland Odyssey ehf. Iceland Odyssey operates under Icelandic laws and regulations. Should there be a legal dispute it shall be settled with the District Court of Reykjavík. Iceland Odyssey ehf. is registered at Kirkjuteigur 5, 105 Reykjavik, Iceland. Complaints and comments

We are continuously working on improving our tour and service and much appreciate feedback from our customers. If you have any complaints regarding our tours please contact us right away (+354 776 7773) or icelandodyssey@gmail.com and we will reply to you as soon as possible.

Data retention policy

Further retention of personal data should be lawful only when it is compatible with the purposes for which it was originally collected.

3. Personal data that ​​Iceland Odyssey ehf collects and processes
In connection with our communication and collaboration with you, we may collect personal data about you. Different personal data may be collected on different parties and the processing and collection of personal data may depend on your relationship with us.

Our customers are mainly individuals, but they may also be legal persons. When customers are a legal person they have representatives and employees whose personal data we may process. The personal data is primarily contact information, e.g., name, email address, job title and phone number.
Regarding our communication with you we may need to process a variety of personal data, e.g.:

contact information, e.g., name, ID number, address, phone number and email address
interests
travel period
information on the purpose of the trip and special wishes for the trip
information regarding the combination of the travel group
health and religion information
country of residence
IP number, when needed
billing information.

In addition to the aforementioned information, ​​Iceland Odyssey ehf may collect and process other data that you provide to the company, e.g., photographs, as well as data that is essential for the company’s business.
In general, ​​Iceland Odyssey ehf obtains the personal data directly from you. If data is obtained from a third party the company will endeavour to inform you.

4. Why do we collect and process personal data and on what grounds?
The processing of personal data about you is mainly based on our agreement with you, or the party which you work for. This includes contact information so we can contact you and send invoices.

Personal data may also be processed based on your request to enter into an agreement. This includes data on interests, travel period, information on the purpose of the trip and special wishes for the trip.
Sensitive personal data will only be processed based on your explicit consent. Such data is only collected when deemed necessary.

In addition, personal data may be processed on the ground of our legitimate interests, e.g., when your email address is used to send customer surveys and, as appropriate, direct marketing.

If you do not provide ​​Iceland Odyssey ehf the necessary information the company may not be able to enter into an agreement with you, or the legal person you represent, for the requested service and/or the company may be unable to fulfill its obligations on the basis of the agreement.

If the collection and processing is based on your consent, you can always withdraw the consent. All communications relating to such withdrawal or changes to the consent shall be directed to icelandodyssey@gmail.com.
Iceland Odyssey ehf undertakes to ensure that all processing of personal data is lawful, fair and transparent. Data will only be collected for a specific, explicit and legitimate purpose and collecting and processing will not go beyond what is necessary for the purpose of the processing. The processing shall always be adequate, relevant and limited to what is necessary for the purpose for which they are processed.

5. Disclosure to third parties
Iceland Odyssey ehf may disclose your personal data to contractors, consultants and suppliers in relation to their work for the company. Therefore, personal data may for example be disclosed to external parties that provide us with IT services, but also to service providers of trips that we book on your behalf.

Third parties who provide us with services as described above could be located outside of Iceland. Iceland Personal Tours will not disclose data to parties located outside of the European Economic Area unless such transfer is permitted according to appropriate data protection legislation. ​​Iceland Odyssey ehf endeavours to inform you about any disclosure of personal data to countries outside of the European Economic Area, but ​​Iceland Odyssey ehf can provide further information. Finally, your personal data may be disclosed to the extent permitted or required by applicable legislation or regulations or to respond to legal actions such as search of premises, subpoenas or court rulings. Disclosure may also be necessary in emergency situations to ensure the safety of the employees of​ ​Iceland Odyssey ehf or third parties.

6. How is the safety of personal data secured?
Iceland Odyssey ehf endeavours to take appropriate technical and organisational measures to protect the safety of your personal data, with special regard to the nature of the data. For example, ​​Iceland Odyssey ehf has access controls to systems which store data about you. These measures are meant to secure personal data against accidental destruction or alteration and against unauthorised access, duplication, use or disclosure of the personal data.

Iceland Odyssey ehf will endeavour to retain your personal data only for as long as necessary for the purpose of the processing, unless otherwise permitted or obligated by law.

8.Your rights regarding the company’s processing
You are entitled to request access to the personal data we process on you and information on the processing. You may also be entitled to a copy of the personal data undergoing processing.

Under certain circumstances you may have the right to request that we erase personal data concerning you without undue delay. You may also have the right to obtain from us the restriction of processing, where certain requirements are fulfilled. You are also entitled to request rectification of inaccurate data on you. It is therefore important that if your personal data happens to change during the course of your relationship with Iceland Personal Tours, that you keep us informed of such changes

You may furthermore be entitled to a copy of the personal data that you have provided to us in electronic form, or request that we transmit them direct to a third party.

When we process your personal data based on legitimate interests you are at any time authorised to object to the processing.

The aforementioned rights are however not without limitation. Laws and regulations may authorise or oblige the company to deny your request. However, your right to object the processing of your personal data for direct marketing purposes is unconditional.

9. Inquiries and complaints to the data protection authority
If you wish to exercise your rights according to Clause 8 of this policy, or if you have any questions regarding this data protection policy or how we process your personal data, please contact icelandodyssey@gmail.com who will seek to answer any inquiries you may have and instruct you on your rights pursuant to this policy.

If you are not satisfied with the company’s processing of your personal data you can send a complaint to The Data Protection Authority ( www.personuvernd.is).
